How does Planlogi create an invoice?

From the signed eCMR. By the time the driver has finished the delivery, the consignment note already holds the customer, the addresses, the goods and the price you agreed. One click turns it into a finished invoice. Nobody types any of it a second time, so there's nothing for the customer to argue with later.

How long does it take to get invoicing running?

Invoicing is part of Planlogi, not a module you buy and install on top of it, so it works from the day you set the system up. Most small fleets are going live in 1 hour, after a single onboarding call. Bigger fleets get a proper rollout.

Which accounting systems do you work with, and do we have to change ours?

Accepted Answer

You keep yours. Planlogi writes finished invoices straight into Merit, Standard Books, Directo or Rapid, and there are carriers running live on each of them. Your bookkeeper opens the same software as always and the invoices are already sitting in it. Accounting integrations come with the Team plan and up.

How does the fuel surcharge (BAF) work?

You set the surcharge as a percentage for each customer and Planlogi adds it to the charge when the invoice is raised. No spreadsheet on the side, nothing to remember on a busy week. The margin you negotiated against fuel ends up on the bill.

Can we put a whole month of loads on one invoice?

Accepted Answer

Yes. If you bill a customer weekly or monthly, Planlogi collects that period's delivered loads onto one invoice as they finish. You look it over and send it, rather than building it from scratch at the end of the month. Consolidated invoicing comes with the Team plan and up.

Can we send e-invoices automatically?

Accepted Answer

Yes. Customers set up to receive e-invoices get one automatically. Everyone else gets a link or a PDF, with the delivery documents on the same link. Automatic e-invoice dispatch comes with the Team plan and up.

Does the customer get the proof of delivery with the invoice?

Accepted Answer

Yes. The eCMR and the route card go out on the same link as the invoice, along with anything else you've marked as customer-visible. When someone questions a line, the proof of what was delivered and signed for is already there. Nobody has to go looking for paper.

What if we've already sent an invoice and it's wrong?

Accepted Answer

Issue a credit note, or pull the invoice back to un-invoiced and change it even after it's gone out. Every change is logged, so the corrected invoice is as easy to trace as the original when a customer or an auditor asks.
