WRP's small team does the work of a big one with Planlogi: 4× faster workflow and zero paperwork

See how freight forwarder WRP swapped paper and multiple systems for Planlogi. A 3-person team now handles orders 4× faster and invoices the same day.

Company profile

WRP (Waste Recycling Partners) is a logistics and freight forwarding company in the waste and recycling sector, mainly arranging full-truckload (FTL) transport across Estonia, Latvia and Finland.

WRP owns no fleet of its own, instead it works with a flexible network of carrier partners, which lets it scale quickly and cover a wide range of routes. They serve well-known names in the sector, offering a personal, precise and flexible service.

Before Planlogi: "night and day" compared with the new workflow

WRP used to work with "old-school" solutions: planning and order entry in a separate program, documents moving around physically, and driver communication over the phone. CMRs and supporting evidence (photos, digital signatures) piled up in a fragmented way and often reached the office days, sometimes weeks, later.

Planlogi is an absolutely brilliant platform! With our small team we get the work done four times faster, without the extra noise and without having to jump between several systems.

-Tigris Nõgols, board member and dispatcher at WRP

  • Slow invoicing: invoicing was delayed. We often had to wait until the drivers came back from international trips and brought the paperwork in.
  • Time lost to planning: handling a single order (job) took 15-20 minutes, because information had to be looked up, entered and double-checked in several places.
  • No transparency: for the logistician the picture was patchy (is the load picked up or delivered, at what time, are the documents there?), and getting hold of the information ate up a lot of calls and messaging.
  • Freight-forwarding complexity: when one order was split between 2-3 different carriers, the coordination load jumped sharply.
  • No eCMR capability: there was no single digital-flow solution. Nor was there a convenient way to store and share transport documents so drivers could show them straight from their phone at a roadside check when needed.
In short, it was clear to the WRP team that heavy manual work, a long invoicing cycle and fragmented information were holding back their growth and profitability. That's why they set out to find a TMS software that would streamline day-to-day operations, speed up the workflow and give a clear, real-time overview of what was happening.

Why did WRP choose Planlogi?

For WRP, the priority was to speed up and get the most out of a small team, and to give better transparency to both management and customers. Because WRP owns no trucks, all the work runs on partners' vehicles. That means it's precisely the logistician's efficiency and visibility that decide how many loads actually fit into a day.

That's why five big advantages stood out to WRP about Planlogi:

  • Speed and ease of use: order entry, copying from a similar trip, and managing routes and statuses are all brought together in one system and one view, with logical steps. Planlogi is quick and easy for anyone to pick up, and training a new team member is simple.

"Planlogi is very customer- and user-friendly! Such an awesome software! It's so easy to use that even if you have to train or show a logistician or someone else, it actually takes very little time."

-Tigris Nõgols, board member and dispatcher at WRP

  • eCMR and proof in one flow: drivers record the loading and unloading of goods (and, when needed, other cargo-related notes or photos) in the Planlogi driver app, and the logistician and customer instantly have a chain of proof (date/time, signatures).

  • Invoicing many times faster: the moment the goods are delivered, everything needed to raise the invoice is there. The goal: invoices out the same day, without waiting for drivers to return with the paperwork.

  • Integration with Merit: WRP's aim is to connect the entire logistics-to-invoicing chain between Planlogi and Merit, so that double entry disappears and the accounting flows through automatically.

  • A fit for WRP's transport and existing workflow: while many well-known transport management systems on the market can feel too complex and expensive for small companies, Planlogi is built to be logical, simple and affordable for large and small carriers alike.

How does WRP manage transport now with Planlogi?

According to WRP, their workflow on the Planlogi platform is "like night and day compared with our previous system." The working days of the logistician and the drivers are logical and in sync in Planlogi.

You quickly enter the orders and routes, and the whole workflow just kicks off: goods loaded, goods delivered - boom - already there. Traceability: everything is connected: who did what, where everything is; all the documents and photos come together under one trip and load/order. All credit and praise to Planlogi; I honestly can't put it any other way.

-Tigris Nõgols, board member and dispatcher at WRP

The logistician logs in, reviews the previous and current day's plan, and adds or copies orders. If a similar load has been done before, it's enough to create a copy and change a couple of fields. An order becomes a complete package right away: pickup location and time, unloading, customer contacts, route, pricing, notes and any required supporting documents.

Once an order is entered, it is assigned to a specific vehicle and driver. WRP uses its partners' fleet, so it is especially important that information moves quickly and in one place. In Planlogi you can immediately see which vehicle is free, which load is "picked up" and which is "delivered", and when a run has several stops, the entire route is in a single view. If needed, the plan can be adjusted quickly, without having to phone several people.

“Everything is transparent and traceable. The documents and photos are under one order, not scattered somewhere.”

-Tigris Nõgols, board member and dispatcher at WRP

In the driver app, drivers receive their tasks in real time. They see all the necessary details along with addresses, contacts, instructions and accompanying documents.

At loading, the driver marks "goods loaded"; at the destination, "goods delivered". Statuses and timestamps reach the logistician's view instantly. All photos, signatures and files are automatically linked to the same order. That means no more "where's that piece of paper?" moments later on, and no chasing documents.

“All the drivers are very happy with Planlogi. One small tap on their side and you can immediately see that the goods have been delivered. And the customer gets the information at that very moment.”

-Tigris Nõgols, board member and dispatcher at WRP

For waste transport, ADR and other supporting documents are often needed at checkpoints. In Planlogi these files travel with WRP's drivers on their phones and can be shown quickly when required. In practice this shortens the time spent standing around and eases the pressure during inspections. Because information moves through a single channel, the risk of mistakes also drops (for example, the wrong file attached to the wrong load).

Transparency is another big win for WRP. Planlogi shows in real time what's in progress, what's finished and what's waiting. The volume of calls and messages has fallen, because the Planlogi system answers the questions itself: where the load is, when it was delivered, whether the photos and signature are in place. If something needs attention or correcting, the logistician finds out immediately and can solve the problem before it becomes a delay at the customer's end.

As soon as a delivery is complete, the WRP team has everything it needs to invoice. In Planlogi the invoice can be raised straight away, within the same working day.

Why is this so valuable for a small team?
Because at every order the repetitive manual work disappears. Copyable forms, statuses in a single view, photos and signatures, clear tasks for the driver and instant visibility make each job 4× faster than before. That's exactly what a small team needs to do the work of a large one: fewer clicks, fewer calls, less waiting. More control, more volume, faster cash flow, better service and quicker answers to customers.

WRP's win with Planlogi: a small team with a big operator's efficiency

WRP is a great example of how one logistician can do the work of several people with Planlogi, without quality or control suffering. Orders, drivers, documents and invoices sit in one workflow, the paper chase disappears, and money moves faster.

The small team now has the efficiency of the big players: a clear view of the day, less manual work, a solid chain of proof and room to grow volume without immediately growing the payroll.

Where it used to take 15-20 minutes to handle one job, in Planlogi we do the same in under 5 minutes."

-Tigris Nõgols, board member and dispatcher at WRP

This one small change multiplies the effect by the end of the day, especially when the work is freight-forwarding in nature and there are a lot of jobs.

If a logistician handles, say, 50 jobs a week, the order-level time saving alone adds up to at least 10 hours a week. In real life that saving is partly spread across other tasks too (driver calls, chasing paperwork, and so on). In other words, WRP gets a lot more done without expanding the team.

“The drivers come back from Poland roughly every three weeks, and before that we could only send the invoices out weeks later. Now we send invoices out the same day.

-Tigris Nõgols, board member and dispatcher at WRP

WRP has also seen a significant speed-up in the invoicing cycle. Where previously waiting for the paperwork from a Poland/Finland run meant invoicing could only happen 2-3 weeks later, in Planlogi invoicing can be triggered straight away, the same day.

Planlogi results in numbers

  • 4× faster order handling
The time per job fell from 15-20 minutes to 5 minutes (-75%)
  • Invoices out the same day (not three weeks later)
DSO improved by 14-21 days: cash on the invoice and in the account sooner
  • Driver training time: under 30 min per driver
The Planlogi driver app is intentionally simple and easy for the whole team to pick up
  • More efficient operations
The dispatcher can focus more on planning and spend less time on administrative document work
  • More transparent information flow to customers and partners
Customers see order status in real time. Fewer calls and emails. More trust.
  • Small-team scaling
With 50 jobs a week, a single logistician saves at least 10 hours a week, opening up the capacity to serve greater volume without hiring extra hands

What is Planlogi?

Planlogi TMS dispatcher dashboard and driver mobile app
Planlogi is a cloud-based transport management system (TMS) built for small and mid-sized road freight operators across Europe. It replaces the fragmented mix of spreadsheets, paper waybills, WhatsApp threads, and disconnected accounting tools that most growing hauliers rely on, bringing dispatch, eCMR, a driver mobile app, track-and-trace, proof-of-delivery, and invoicing into one platform.

Unlike enterprise TMS suites built for 500+ truck fleets, Planlogi is priced and designed for the hauliers that actually move European freight: fleets of 5 to 100 trucks, where every hour of admin time and every late invoice hits the bottom line.

Planlogi is a leading TMS platform for SMB European road transport operators, supporting the development and rollout of the eFTI system. Our platform meets both European Union requirements and local legislation, helping companies bring their logistics software into line with eFTI standards.
